Privacy Policy

We collect only what we need to run the Service: identity (name, email, age, location), the recruiting profile content you upload (sport, position, photos, video, GPA, etc.), and basic analytics so we can fix bugs and ship better features. We do not sell your data. We do not share your data with advertisers. Anyone can request data deletion at any time by emailing privacy@pdfformula.io.

Athlete Intelligence is operated by Athlete Intelligence LLC, a Utah limited liability company. We are the "data controller" for the purposes of GDPR and similar regulations.

Identity + contact: name, email address, phone number (if provided), birthdate, gender (if provided), home city + state.

Recruiting profile content (you provide): sport, position, graduation year, height/weight, GPA, test scores, profile photo, highlight videos, club + high school teams, awards, personal statement, coach references, recruiting preferences.

Communications: emails you send to college coaches through our system, replies coaches send back to you via our inbound mail server, and messages with our AI Coach. These are stored so you can review your conversation history.

Billing: if you subscribe, we collect billing address and store a Stripe customer ID. We never store your full credit card number — Stripe handles that.

Usage analytics: page views, button clicks, basic device info (browser, OS, screen size), IP address (used to geolocate approximate region for analytics), and the date/time of actions. Used to fix bugs and improve features.

We use these reputable services to operate the Service. Each has been chosen for their privacy + security practices, and each has access only to the data they need to do their job:

• Supabase (database + authentication + file storage) — stores your profile data, account credentials, and uploaded photos/video.
• Vercel (web hosting + serverless functions) — serves the website and processes requests.
• Stripe, Inc. (billing) — processes payments and stores billing information. Stripe's privacy policy: stripe.com/privacy.
• Resend (transactional email sending) — sends confirmation emails, coach-outreach emails on your behalf, and system notifications.
• Postmark (inbound email parsing) — receives coach replies sent to inbox.athleteintel.pdfformula.io addresses and forwards them to your in-app inbox.
• Anthropic Claude (AI features) — powers the AI Coach drawer, AI-drafted coach outreach, and other generative features. Your messages to AI Coach are sent to Anthropic via their API; Anthropic does not train on Claude API inputs by default.
• Cloudflare (DNS only) — manages the DNS records for our domain.

• To run your account and provide the Service.
• To make your public profile visible to college coaches and indexable by search engines (only when you set it to public).
• To send transactional emails — receipts, confirmations, coach-reply notifications, scoring updates, password resets.
• To compute analytics that help us fix bugs and improve features.
• To enforce our Terms and detect abuse.
• To comply with legal obligations.

We do not sell your data, ever. We do not share your data with advertisers. We do not use your data for ad targeting.

When you mark your profile as public, the following becomes visible to anyone with the link and may be indexed by search engines like Google: your name, sport, position, graduation year, photo, highlight videos, school + club affiliations, awards, public statement, and PDF Athlete Score. Items like phone number, home address, email, and grades remain private and are NEVER shown publicly.

You can revert your profile to private at any time from your account settings. Search engines typically de-index removed pages within 30 days.

We use cookies (and similar local-storage mechanisms) to keep you signed in, remember your preferences, and count basic page views. We do not use third-party advertising or tracking cookies.

The Service is intended for athletes age 13 and up. Users under 18 must have a parent or legal guardian agree to our Terms and Privacy Policy. If you are under 13, do not create an account. If we learn we have collected data from a child under 13 without parental consent, we will delete it.

Parents of users under 18 may request access to their child's data or request deletion by emailing privacy@pdfformula.io.

All users: you can access, correct, or delete your data anytime from your account settings, or by emailing privacy@pdfformula.io.

EU / UK (GDPR): you have the right to access, rectify, delete, or restrict processing of your personal data, the right to data portability, and the right to lodge a complaint with your local data protection authority.

California (CCPA / CPRA): you have the right to know what categories of data we collect, the right to request deletion, the right to opt out of any "sale" or "sharing" of personal information (we do neither), and the right not to be discriminated against for exercising your rights.

We keep active-account data while your account exists. After you delete your account, we remove your data from active systems within 7 days and from backups within 90 days. Aggregate, anonymized usage analytics (that cannot identify you) may be retained indefinitely.

We use industry-standard security practices: HTTPS everywhere, encrypted-at-rest databases (Supabase), Stripe-managed payment processing (we never see full card numbers), and row-level security policies on every database table. No system is perfectly secure — if you believe your account has been compromised, contact security@pdfformula.io immediately.

Our servers are located in the United States. If you access the Service from outside the U.S., your data will be transferred to and processed in the U.S. By using the Service, you consent to this transfer.

We may update this Privacy Policy from time to time. Material changes will be announced via email and posted here with an updated "Last updated" date.
